The Challenge

Before adopting OneClick, Reuben and his team were juggling multiple platforms to manage accountability, attendance, training, and checklists. They used Visible for attendance tracking, Trello for training, and Jolt for daily checklists—creating a fragmented system that made consistency and oversight difficult. When onboarding new hires, the process became even more complicated—requiring coordination across five or six different apps. Team Members would not utilize all the apps used. This not only slowed down their team but also made it easy for information to get lost or delayed, especially when tracking infractions and coaching moments.
Additionally, the team faced challenges with timely documentation of accountability actions. Managers would often write notes on paper or take photos to remember infractions, leading to delays or missed entries. The disjointed process made it hard to uphold consistent accountability or follow up on disciplinary actions promptly.

The Solution

The team chose OneClick to simplify and unify their systems under a single platform. From the start, Reuben appreciated how OneClick could integrate functions that were previously scattered across multiple tools. To ensure a smooth rollout, they implemented the platform in phases—starting with accountability stories, then adding training passports and setups.
This gradual approach helped the team adjust without feeling overwhelmed. They also leveraged OneClick’s transition guide, which provided clear steps for setup and onboarding. Once the team began using OneClick consistently, Kayla, their Front of House Director, found that reporting and tracking became effortless. She could pull daily reports, monitor rolling point thresholds, and oversee compliance without manually counting points.
Venise, a Front of House Manager, noted that having everything in one place transformed her workflow—eliminating the need to switch between apps or wait to enter data later. Even team members who were initially hesitant quickly realized that OneClick made their day-to-day work easier.
Reuben took things a step further by integrating OneClick notifications with Zapier, automatically creating to-do items in Basecamp whenever accountability thresholds were met. This automation ensured that follow-up actions were never missed and that accountability remained visible and consistent across leadership.

The Results

Since implementing OneClick, the team has seen major improvements in both efficiency and accountability culture. What once took days of follow-up and manual tracking now happens in real time, directly from the iPad or phone.
Kayla reports that the team’s infraction tracking accuracy increased by roughly 70%, with far fewer missed entries. Instead of chasing down forgotten paperwork, her team can now spend their time on coaching and leadership development.
Transparency also improved significantly—team members now receive email notifications when they receive infractions, increasing awareness and reducing confusion. This shift has helped create what Reuben described as “1,000% more transparency” between leadership and staff.
Most importantly, the store’s accountability culture has become more balanced. The team built a system that values both responsibility and grace—holding team members accountable while approaching each situation with understanding. Through consistent communication, coaching conversations, and clearly documented expectations, they’ve cultivated a culture of growth, not punishment.
