Add a Vendor Contact

At a glance

Add a vendor, sister store, or any other external contact to your store's Vendors list with at least one way to reach them. Once added, the row exposes one-tap call, text, email, and website buttons for any team member with access.

Before you start

Adding a vendor requires Manager permissions or higher. You need at least one contact method for the vendor: email, call number, text number, or website. OneClick rejects attempts to save a vendor with none of those four fields populated.

Think about the category value before you start. Categories drive search and grouping, so consistent naming across the list matters. Pick a short, obvious label (for example, "Produce," "Maintenance," "Dairy," "Neighbor Store") and reuse it across similar entries.

Steps

  1. Tap Vendors in the left menu.
  2. Tap Add New Vendor on the top right.
  3. In the modal, enter the vendor name.
  4. Enter a category.
  5. Populate at least one of the four contact methods:

  6. Email

  7. Call number
  8. Text number
  9. Website
  10. Optionally add notes (order cutoffs, account numbers, rep name, delivery windows).
  11. Tap Create.

The vendor appears in your Vendors list immediately, visible to every team member with Vendors access.

Contact a vendor after adding

From the Vendors list, find the vendor (scroll, or use search by name or category), then tap the icon on the right that matches how you want to reach them: phone, text, envelope, or globe. The eye icon opens the full record so you can review notes or copy a contact field manually.

Edit or delete a vendor

Tap the vendor row to open the detail view, then use the edit or delete controls. Deletion is immediate and cannot be undone. If a vendor relationship is on pause rather than terminated, update the notes field instead so the contact information stays available.

Common gotchas

The Create button stays greyed out until at least one contact method is filled. If the button will not activate, check which of the four contact fields (email, call, text, website) is still empty.

Call number and text number are separate fields on purpose. Many vendors use a main line for voice and a different SMS-capable number for texts. Put the right number in the right field, or the one-tap icons dial the wrong endpoint.

Categories are free-text, not a dropdown. "Produce," "produce," and "Produce Vendor" are three different categories for search purposes. Pick a convention and stick with it across the team.

Search only matches name and category, not notes. If you routinely search for a rep by name, put the rep name in the vendor name or category, not just in notes.
