Copy and Paste Layout Assignments


At a glance

Most stores run several layouts per day (open, lunch rush, afternoon, dinner rush, close). Setting up each from scratch is slow. Copy and paste layout assignments lets you pull the position assignments from one time slot into another, automatically replicating placements for team members whose shifts span both slots, so you only adjust for new arrivals and coverage changes. The Add New Layout button creates a fresh layout for an unexpected rush or a single-day configuration.

Before you start

  1. You need a role with the Edit shift assignments permission. Same permission that covers regular drag-and-drop on the Shifts screen.
  2. Have the source layout set up the way you want to replicate it. Copy pulls the source as it exists at the moment you click, so finish the source layout before starting the copy.
  3. Know what adjustments the target layout needs that the source does not cover: team members arriving after the source slot, team members leaving before the target slot, and positions that need to rotate for break coverage or variety.
  4. Estimated time: fifteen seconds for the copy, one to three minutes for the manual adjustments after.

Steps

Path A: Copy assignments from a previous time slot

  1. On the Shifts screen, navigate to the target layout (the one you want to fill in). For example, the 11:00 am layout.
  2. Look for the Copy [time] option that references the previous time slot. If you are on 11:00 am and 9:00 am came before it, the option reads Copy 9:00.
  3. Click Copy 9:00. Position assignments from the 9:00 am layout replicate onto the 11:00 am layout for team members whose shifts span both slots.
  4. Review the replicated layout. Team members whose 9:00 am shift ended before 11:00 am do not appear; team members who arrived for shift after 11:00 am appear in the roster but not yet in positions.
  5. Adjust manually using drag and drop. Rotate team members to new positions if they have been in the same seat since 9:00 am (prevents monotony), place new arrivals into open positions, and handle any coverage changes for the new time slot.
  6. You should now see a complete 11:00 am layout built from the 9:00 am starting point plus your adjustments, ready to run.

Path B: Copy assignments from a future time slot

  1. On the Shifts screen, navigate to the target layout.
  2. Find the Copy [time] option that references the future time slot you want to pull from. If you are on the 11:00 am layout and 2:00 pm is already set up, the option reads Copy 2:00.
  3. Click Copy 2:00. Position assignments from the 2:00 pm layout replicate onto the 11:00 am layout, again only for team members whose shifts span both slots.
  4. Review and adjust using drag and drop.
  5. The 11:00 am layout now uses the 2:00 pm layout as a starting point.

Path C: Add a new layout on the fly

  1. On the Shifts screen, click the + button at the end of the shifts list.
  2. Choose a time for the new layout.
  3. Press Create.
  4. The new layout appears with the team members scheduled to be working at that time. Assign them to positions using drag and drop, or use Copy from an adjacent layout to speed this up.
  5. The layout is live and can be run. Layouts added this way can be configured for a single day's unexpected rush without affecting standard scheduled layouts.

Common gotchas

I copied a previous layout and team members from the previous slot did not come over.

Copy and paste only replicates assignments for team members whose shifts span both time slots. A team member scheduled 6:00 am to 10:30 am does not appear on the 11:00 am layout because their shift ended before the target slot starts. This is correct behavior; the team member is no longer working at 11:00 am.

I copied a layout and now two layouts look identical. Is that a problem?

Identical layouts across consecutive time slots usually signal that you did not do the post-copy adjustment step. The point of copying is to save the re-placement work for people who stayed the same; the post-copy step is to rotate positions, handle arrivals and departures, and adjust coverage. If the layouts are truly identical for hours, team members stay in the same position their whole shift, which is usually worse for energy, skill development, and 2nd Mile Service.

The Copy option is not showing up.

Copy options only appear when an adjacent layout (previous or future) exists. If you are on the first layout of the day, there is no previous to copy from. If you have not built any subsequent layouts yet, there is no future to copy from. Build the source layout first, then copy.

I added a new layout but the wrong team members appear on it.

New layouts populate their roster from team members scheduled to be working at the layout's time. If you created an 11:00 am layout and unexpected team members are there, check the schedule in HotSchedules for the scheduled start and end times around 11:00 am. If someone expected to be there is missing, check whether their HotSchedules shift actually covers 11:00 am.

I used Add New Layout for today's rush and now I have an extra layout showing up every day.

Layouts added through the + button are for the specific day they are created on by default. [VERIFY: confirm whether added layouts persist across days or are single-day by default. The source material describes "Add a layout that will only take effect for that day" which suggests single-day default, but template-testing language also appears.] If an extra layout is persisting unintentionally, remove it and check the template settings.

Copy from a future layout replaced assignments I had already made.

Copy is a replace action, not a merge action. Clicking Copy 2:00 on an 11:00 am layout that you had already partially built replaces the existing 11:00 am assignments with the 2:00 pm template, losing your in-progress work. Finish building manually or copy first and adjust from there; do not copy after you have already invested time placing manually.

I want to save a layout as a reusable template.

[VERIFY: whether OneClick supports saving layout templates for reuse across days. The source mentions "Test layouts templates to see what they would look like" which implies template support, but the template management surface is not described.]
