Manage a Team Member's Area Assignment

Changelog: v1. New article. Content gap identified in KBRW Phase 1 validation pass (2026-05-04): zero KB coverage for the Area tab despite it being the primary surface for assigning a team member to a work area. All UI details live-verified on CFA Dan's Store #99997 (Alexander S profile). Written to serve both single-store CFA operators managing FOH/BOH assignments and multi-location operators managing location-level assignments. VERIFY blocks call out two behaviors that need Kevin or Jared confirmation before publish.


At a glance

Areas in OneClick define where a team member works. Each team member's profile has an Area tab showing every area they are currently assigned to. You add or remove area assignments from that tab. Assigning a rating to a team member in a given area also creates the area assignment automatically. This article covers how to view, add, and remove area assignments, what happens in the product when assignments change, and how areas interact with ratings.

Before you start

You need access to the team member's profile. Manager level or higher is typically required to edit a team member's profile. If you can open the profile but do not see the Area tab, your role may not have the permission to view or edit area assignments.

Steps

View a team member's current area assignments

  1. Open the team member's profile. (From the left navigation, select Team, then select the team member's name.)
  2. Select the Area tab in the tab strip.
  3. The content pane shows each area the team member is currently assigned to, listed as individual rows.

Each row shows the area name and a delete icon on the right side. If no areas are assigned, the pane is empty.

Add an area assignment

  1. On the Area tab, select + Add Area.
  2. [VERIFY: Does this open a picker showing available areas, or does it open a text-entry field? Confirm the exact UI that appears after clicking + Add Area and what options it presents.]
  3. Select or enter the area to add, then confirm.
  4. The new area appears as a row in the Area tab immediately.

Alternative path: Assigning a training rating to a team member in a given area also adds that area to the Area tab automatically. The tab's helper text reads: "Add [team member name] to an area by writing a rating in that area." If you use Ratings as your primary workflow, the Area tab will reflect assignments without needing the + Add Area flow.

Remove an area assignment

  1. On the Area tab, locate the area row you want to remove.
  2. Select the delete icon on the right side of that row.
  3. [VERIFY: Does a confirmation prompt appear before deleting, or is the deletion immediate?]
  4. The row is removed from the Area tab.

Removing an area assignment does not delete the team member's historical ratings in that area. It removes the current assignment only.

What area assignments affect

Training ratings and passports. A team member can receive training ratings in any area they are assigned to. Removing an area assignment does not erase prior ratings; it prevents new ratings from being assigned to that area going forward.

Visibility in the product. [VERIFY: Confirm whether area assignment affects checklist visibility, shift assignment eligibility, or any other surface beyond ratings.]

Multi-location operations. For operations with multiple locations or distinct work zones, areas function as location identifiers. Each location or zone is a named area. Assigning a team member to an area makes them available within that location's workflows. Removing the assignment excludes them from that location's workflows.

In a restaurant context, typical areas are Front of House and Back of House. In a multi-location or multi-site operation, each location or site is typically defined as a separate area.

Common gotchas

The + Add Area button does not appear on the Area tab. Your role may not have permission to edit area assignments. Check with a Director-level leader to confirm whether your role carries the edit permission, or ask them to make the change.

I added a rating but the area did not appear on the Area tab. The automatic area-from-rating behavior requires the rating to be submitted against a specific area. If the rating was submitted without an area selected, no area assignment is created. Resubmit the rating with the area selected, or add the area manually using + Add Area.

Removing an area assignment removed the team member from the passports or checklists associated with that area. Area removal affects active assignments in area-scoped surfaces. Historical records (completed ratings, infraction history) are not affected. If the removal caused an unintended workflow gap, re-add the area and contact support if the downstream effect is unclear.

The area I want to assign does not appear as an option. Areas are configured at the store level. If an area does not appear in the + Add Area picker, it may not be set up for your store yet. Contact support to add a new area, or ask whoever manages your store's settings.

A team member's Area tab is empty but they have ratings in the product. This can occur if area assignments were removed after ratings were submitted, or if ratings were submitted without area assignments. The ratings remain but no active area assignment exists. Use + Add Area to re-establish the assignment if needed.

  2. The team member's name.
  3. The area name you are trying to add or remove.
  4. A screenshot of the Area tab showing the current state.
  5. What you expected to happen versus what happened.
