Manage Layout Templates


At a glance

Manage Templates is the template-level settings panel in the Layout Editor. It is where you rename templates, adjust how many positions appear per row (width), set which days of the week a template is active on, disable Auto Schedule or Checklist Associations across the whole template, and see at a glance which times and days each template currently covers.

Before you start

  1. You need Manager, Director, or Operator permission by default to access the Layout Editor.
  2. Know what you want to change at the template level versus the position level. Template settings apply to every position inside the template; position settings apply to just one. This article covers template settings; Customize a Layout Template covers position-level work.
  3. Coordinate with other leaders before opening the Layout Editor. Concurrent editing is not safely supported.
  4. Estimated time: one to three minutes per template.

Steps

  1. Open the Layout Editor.
  2. Select FOH or BOH using the toggle at the top, then select the template you want to manage.
  3. Open the right column using the < icon on the upper right side of the screen. Ensure no sections or positions are selected; the Manage Template panel only appears when nothing is selected. If you are having trouble unselecting, choose a different layout in the dropdown, then reselect the layout you want to edit.
  4. If needed, select Manage Template from the right column.
  5. Configure the template-level settings:

  6. Rename. Edit the template name to match your store's operational vocabulary (for example, "Lunch Rush," "Close," "Weekend Breakfast").

  7. Width. Set the number of positions that appear in a row on the Shifts screen when this template is running. Wider templates show more positions per row; narrower templates wrap more often.
  8. Active Days of the Week. Check the days this template should apply on. For example, a template that should only run on Saturday at 12:00 pm has Saturday checked here; the 12:00 pm active time is set separately.
  9. Auto Schedule. Uncheck to disable the Auto Schedule feature for leaders using this template. Useful when a specific template needs manual placement only (for example, a special-event layout where the leader wants full control).
  10. Checklist Associations. Uncheck to disable associated-checklist auto-assignment for this template. Useful when a specific template should not auto-assign checklists even if positions have them configured.
  11. Use Existing Setups to confirm which times and days this template is currently active on. This view lets you verify the template is covering what you expect before you make changes that will flow through every time slot. Each template row in the Existing Setups panel shows a duplicate icon (the copy-page icon) next to its name; clicking this icon creates a copy of that template that you can then rename and configure independently.
  12. Press Save All to commit your changes to the template record. The Save All button becomes active (turns blue) as soon as you make any change in the Layout Editor; if it is still gray, no changes have been recorded yet. When deleting a template, Save All must also be pressed to persist the deletion.
  13. Press Update Layout or Update All Layouts to push the changes to the Shifts runtime.
  14. When you next open the Shifts screen after a Layout Editor change, a sync confirmation modal may appear (sometimes referred to internally as the /organizeShifts modal). This modal asks you to confirm or cancel the update of the current day's Shifts grid to reflect the Layout Editor changes. Pressing Confirm applies the template changes to today's live layout; pressing Cancel defers the update. If you want changes to take effect on today's Shifts screen, you must confirm this modal.
  15. You should now see the Shifts screen reflecting the updated template settings: the new name appears in the layout dropdown, the new width changes how many positions appear per row, the template only applies on the active days you selected, and any disabled features (Auto Schedule, Checklist Associations) are no longer available to leaders.

Common gotchas

Manage Template is not showing up in the right column.

The panel only appears when no section or position is selected. Any selection takes over the right column with that element's settings. To deselect, click an empty area of the layout, or switch to a different layout in the dropdown and switch back. The right column should now show Manage Template.

I disabled Auto Schedule for a template and now leaders cannot use it on any shift that runs this template.

That is the intended behavior. Template-level disable applies across every active time the template covers. If you want Auto Schedule enabled for some times and disabled for others using otherwise identical layouts, create a second template (a copy of the first with a different Auto Schedule setting) and assign each to its own times.

I set Active Days of the Week to Saturday only, but the template is still showing on other days.

Two places affect when a template is active: Active Days of the Week (this panel) and the Active Times assignment (set by checkmarking times at the template level). Both have to line up. If the template is assigned to an active time (say 11:00 am) on all days, but the Active Days of the Week is set to Saturday only, the template should only run on Saturday at 11:00 am. If it is showing on other days, check the Default Layout Times Strategy setting; Global List applies the time regardless of day, which can override a day-specific template if mis-configured.

I resized the template width and the layout now looks wrong on mobile.

Width controls how many positions appear in a row on the Shifts screen, but mobile devices typically narrow to one or two columns regardless. Check your desktop view first; if width looks right there but mobile still wraps, that is expected mobile behavior, not a configuration issue.

Existing Setups shows my template covering times I did not expect.

Existing Setups reflects current state. If a template is assigned to a time you did not intend, un-check that time in the template's active-times configuration (separate panel from Manage Templates). Then use Existing Setups to confirm the cleanup.

Disabling Checklist Associations removed checklists from running shifts.

Disabling at the template level removes the auto-assignment behavior. Team members who were already assigned a checklist through the previous association keep their current checklist assignment for the active shift, but new assignments on this template will not auto-attach. Restore Checklist Associations to turn auto-assignment back on.

Two templates have similar names and I cannot tell them apart.

Rename one to something more distinctive (for example, "Weekday Lunch" and "Weekend Lunch" rather than "Lunch 1" and "Lunch 2"). Template names flow to the shift time dropdown; clear names make running shifts easier.

I want to duplicate an entire template instead of configuring a new one from scratch.

Use the duplicate icon (the copy-page icon) next to the template name in the Existing Setups panel. Clicking it creates a copy of the template with all positions and settings intact. Rename the copy and adjust as needed. This is faster than building a similar template from scratch.

I deleted a template and the time slot it was assigned to disappeared from the Shifts screen.

When you delete (or reassign) the last template assigned to a time slot, that slot auto-removes from Default Layout Times. The slot no longer exists as an option on the Shifts screen. If you want to keep the time slot, first assign a different template to it before deleting the original.

The deletion confirmation dialog says "delete this layout" but the toast message says "template deleted."

This is a known terminology inconsistency in the Layout Editor. The confirmation modal uses "layout" and the success toast uses "template" - they refer to the same thing. Use "template" when communicating about this with your team to stay consistent with the rest of the Layout Editor vocabulary.

I made changes in the Layout Editor but the Shifts screen looks unchanged even after pressing Update Layout.

Open the Shifts screen. If a sync confirmation modal appears, press Confirm to apply the Layout Editor changes to today's live grid. If you pressed Cancel on that modal, or navigated to the Shifts screen before the modal could appear, the live grid may not yet reflect the changes. Reload the Shifts screen to trigger the sync modal again.

Save All is grayed out and I cannot press it.

Save All only becomes active (turns blue) when there is an unsaved change recorded. If it is gray, the Layout Editor has not detected a change. Try making a small test change (rename, toggle and toggle back) to confirm Save All activates. If it stays gray regardless, refresh the Layout Editor page and retry.

If template-level changes are not saving, Manage Template is not appearing even when no selection is active, or active days and times are not behaving as configured, submit a support ticket and include:

  1. Your store number.
  2. The template name.
  3. A screenshot of the Manage Template panel with current settings.
  4. Whether you pressed Save All and Update Layout.
  5. What you expected versus what happened.

Support typically responds within one business day.
