Record a Waste Entry

At a glance
Record food that is wasted, donated, or sampled in a few taps from either the Shifts screen or the left menu. Every logged entry feeds your store's cost reporting and can be exported to CSV or PDF on demand.
Before you start
You need Team Member permissions or higher to log a waste entry. The product you want to log must already exist in your Waste product list. If it does not, a leader with Manager permissions or higher can add it from Settings → Waste (see Understand the Waste Module for configuration details).
Tap the correct mode (Waste, Donation, or Sample) before adding products. Totals for each mode roll up separately, and changing the mode mid-entry clears the current session.
Steps
Three access paths reach the same Record Waste screen. Use whichever is fastest for where you already are in the app.
From the Shifts screen
- Tap Expand Info at the top of the Shifts screen. The Waste button is only visible when the info panel is expanded. it does not appear when the panel is collapsed.
- Tap Waste on the top right of the info bar. The Record Waste screen opens.
- Tap the mode tile for this entry: Waste (purple), Donation (green), or Sample (gold).
- On the Product tab, search for or tap the product you are logging. It appears in the Quantity tab with a starting count of zero.
- Tap the Quantity tab. Use the plus button to increment, the minus button to decrement, or tap the number field to free-type a total.
- Repeat for any other products you need to log in the same session.
- Tap Add to save every entry at once.
From the left menu
- Tap Waste in the left menu.
- Tap the + button on the Waste, Donation, or Sample tile for the mode you need.
- Follow steps 4 through 7 from the Shifts flow above.
From the wrench icon (settings shortcut)
On the Record Waste screen (/waste-management/record-waste), a wrench icon at the top of the screen links directly to Settings → Waste. Use this to quickly jump to product configuration without navigating through the left menu. This is useful when a product is missing from the list and you need to add it without leaving the Waste context.
Edit or delete an entry
If an entry is wrong, navigate to Waste from the left menu, scroll to the All Recorded Waste list, and tap the three-dot menu on the row you need to change. You can edit quantity and details, or delete the entry entirely. Edits preserve the original timestamp; deletions are permanent.
Favorite a product for faster logging next time
On the Product tab, tap the heart icon next to any product to mark it as a favorite. Favorites pin to the Quantity tab so you can skip the Product tab entirely on future sessions, which is useful for products you waste daily (drumsticks, fillets, muffins). Unfavorite by tapping the heart again.
Common gotchas
The Quantity tab starts products at zero, not one. Tapping Add with a zero quantity saves nothing. Confirm every row has a real count before pressing Add.
Mode switches clear the session. If you tap Waste, add three products, then tap Donation, the three products reset. Complete one mode fully before switching.
Favorited products stay on the Quantity tab across sessions. If you train a new team member and they see items pre-listed at zero, those are favorites, not in-progress entries. They will not save unless the count is changed and Add is pressed.
Reason and Destination fields live on the entry row, not the product. A single product can be logged with different reasons across sessions (Expired today, Damaged Stock tomorrow), so reporting rolls up by product and by reason independently.
The Waste button in the Shifts info bar is invisible when the panel is collapsed. If a team member says they cannot find the Waste button from the Shifts screen, have them tap Expand Info first. The button only appears once the info panel is open.
