Understand the Vendors List

At a glance

The Vendors List stores contact information for any external party your store needs to reach quickly (food distributors, equipment vendors, nearby sister stores, local services) and surfaces one-tap call, text, email, and website buttons directly on the row.

Before you start

Viewing and contacting vendors requires Team Member permissions or higher. Adding, editing, or deleting vendors requires Manager permissions or higher. The vendor list is shared across your whole store.

Despite the module name, the list is not restricted to food vendors. Common entries include neighboring store contacts, maintenance companies, delivery services, and any other contact a team member might need mid-shift.

What a vendor record contains

Each vendor record holds:

  • Name (required)
  • Category (required, for grouping and search)
  • Email
  • Call number
  • Text number
  • Website
  • Notes (freeform, useful for order cutoffs, account numbers, rep names)

At least one contact method (email, call number, text number, or website) is required. A vendor with none of the four populated cannot be saved, and the Create button stays disabled until one is filled in.

Contact icons

Each vendor row exposes a row of icons on the right for one-tap actions:

Icon Action Behavior
Phone Call On a smartphone, opens the dialer pre-filled with the call number
Text Text On a smartphone, opens the text app pre-filled with the text number
Envelope Email Opens the default email app with the email address pre-filled
Globe Website Opens the website in the default browser
Eye View details Opens the full vendor record including notes

Icons for unpopulated fields are hidden. A vendor with only an email address saved shows only the envelope and eye icons.

Search

The search bar at the top of the Vendors screen matches against vendor name and category only. It does not search email, phone, or notes. Categorize vendors consistently (for example, always "Produce" rather than switching between "Fresh Produce" and "Produce Vendor") so search stays useful as the list grows.

Common gotchas

Contact icons behave differently by device. Phone and text icons work on smartphones; on a tablet or desktop they may open nothing or may route through a related app depending on configuration. For reliable contact from any device, populate the email field.

Vendors are not tied to Waste, Reports, or any other OneClick module. The list is a standalone contact directory. Adding a vendor here does not create a product, a cost entry, or a purchase record anywhere else in the app.

Categories are free-text, not a dropdown. "Produce," "produce," and "Produce Vendor" all count as distinct categories for search purposes. Standardize the list across your team.
