Create a One-off Task
At a glance
One-off tasks are single-person, single-due-date assignments for things that do not warrant building a full checklist. Assign one to a team member with a task type, a due date, and your chosen format (checkmark, photo, signature, etc.), then track completion from the One-off Tasks view.
Before you start
- You need a role with the Create Checklists permission (or an equivalent per your Customization Rubric). Same permission that covers regular checklist creation also covers one-off tasks.
- Know the team member the task is for and when it needs to be done. One-off tasks are assigned to a single person, not to a section or a position.
- Decide what proof of completion you want. The task type you choose determines what the assignee does to complete it. Task types match the full checklist task list (Checkmark, Number, Slider, Dropdown, Short Answer, Long Answer, Signature, Photo, Multiple Phase).
- Estimated time: under one minute per task.
Steps
- Select Checklists from the left navigation menu.
- Press One-off Tasks in the Checklists menu.

Fill in the Create One-Off Task form:

Task Name. Short, specific description of what you want done. Example: "Photograph the walk-in cooler thermometer."
- Task Type. Pick the completion format. Checkmark works for simple yes-or-no done flags; Photo requires the assignee to upload an image; Signature requires a drawn or typed signature; Short Answer and Long Answer collect text; Number and Slider collect numeric values; Dropdown collects a selection; Multiple Phase chains several sub-tasks together.
- Due Date. When the task must be completed by. Past due dates will cause the task to appear as Overdue once the date passes.
- Select Employee. Pick the single team member this task is for.
- Press Create.
- You should now see the task appear in the One-off Tasks view, sorted into the appropriate category (Incomplete, since it is fresh).

Common gotchas
I do not see One-off Tasks in the Checklists menu.
The button is in the Checklists screen, not in the main left navigation. Open Checklists first, then look for the One-off Tasks button in the top row of the Checklists page (alongside Manage Checklists and Auto Schedule).
I want to assign a one-off task to multiple people.
One-off tasks are single-assignee by design. If you need several team members to complete the same task, create a regular checklist and assign team members by section, or create multiple one-off tasks (one per assignee).
The team member I want is not in the Select Employee dropdown.
Only active team members appear. Check that the team member has a current shift in HotSchedules or is set to Longterm Employee, and that their account is not archived.
I picked the wrong task type and pressed Create.
Open the One-off Tasks view, find the task in Incomplete, and edit it. You can change the task type, due date, assignee, or task name after creation, as long as it has not been completed yet.
The due date I set is in the past and the task went straight to Overdue.
That is expected. Overdue sorts any task past its due date there regardless of when it was created. Edit the task to move the due date forward if the original was wrong.
I want the task to repeat every week, not happen just once.
One-off tasks are single-shot by design. For recurring work, create a regular checklist with a Repeat Rule (Daily, Weekly, Monthly, or Persistent). See Create a Checklist.
The assignee completed the task but I do not see a name stamp.
If your store uses the Service Account and has disabled PIN usage, completions show as Anonymous. If the team member logged in with their own PIN or account, their name appears on the completion. Same rule that applies to regular checklists.
I need to cancel a task I created by mistake.
Open One-off Tasks, find the task in Incomplete or Overdue, and delete it. Deletion removes the task entirely; there is no "recall" that leaves an audit trail.

- Your store number.
- The team member the task was assigned to.
- A screenshot of the One-off Tasks view and the specific task.
- What you expected versus what happened.
Support typically responds within one business day.
