Set Moola Budgets
At a glance
Moola budgets cap how much each leader can award in a seven-day window. Budgets refresh automatically every Sunday. Two configuration surfaces control them: permission-group defaults (set once, applies to every leader in that group) and individual overrides (per team member, for specific cases). This article covers both.
Before you start
- Permission-group budget changes require the Director-or-above permission. Individual budget changes require the Manage Moola permission (by default, Manager and above).
- A lower-tier leader cannot edit the budget for a higher-tier permission group. For example, a Trainer cannot edit the budget for Team Members even if Trainer sits higher in the permission order; Director-level access is the floor for permission-group budget edits.
- Decide whether you are changing a group default (affects everyone in that group now and going forward) or an individual (affects only that one team member).
- Estimated time: one to three minutes.
Steps
Path A: Change a permission-group budget (the default for every leader in the group)
- Select Settings from the left navigation menu.
- Click Moola in the Settings options.
- Open the Budget section.
- The Budget section lists every permission level with a weekly budget field to the right. Enter the new weekly Moola amount for the permission level you want to adjust.
- To give a permission level unlimited award capacity, tick the Unlimited box next to that level. Unlimited leaders do not have a weekly cap and are not tracked against one. [VERIFY: whether Unlimited means uncapped tracked award capacity or truly un-measured award capacity.]
- Save your changes. [VERIFY: exact save mechanism, whether auto-save on field blur or explicit Save button.]
- You should now see the new budget apply. Existing leaders in the group inherit the new default on their next Sunday refresh; new leaders promoted into the group get the updated default immediately.
Path B: Change a specific team member's budget (overrides the group default)
- Open the team member's profile. From Team in the left navigation, click their name; or long-press or right-click their name on the Shifts layout and select Profile.
- Click the Moola tab.
- Click Adjust Budget.
- Enter the new weekly budget amount for this team member.
- Save.
- The individual budget now overrides the group default for this team member only. It refreshes every Sunday alongside everyone else.
- You should now see the adjusted budget reflected on their Moola tab. To revert, set the budget back to match the group default, or use the reset action if one is offered in the UI. Common gotchas
I see budget fields but cannot change them.
Your permission tier determines which budgets you can edit. Editing a permission-group default requires Director-or-above. Editing individual team members requires the Manage Moola permission. Mid-tier leaders may see the fields but not be able to save changes. Check the Customization Rubric.
A leader hit their budget on Monday and cannot recognize anyone for the rest of the week.
Two options. First, use Path B to raise just that leader's weekly budget for this week and lower it again later if you want to revert. Second, consider whether the group default is too low overall; if the store's culture awards heavily, the default should reflect that. Raise the group default through Path A.
Budgets reset at an unexpected time.
Budgets reset every Sunday. The reset applies store-wide (not rolling per-leader), so every leader refreshes on the same day. If the Sunday reset is causing mid-week surprises, communicate the schedule to your leadership team so no one is caught off guard.
I promoted someone to Manager and their budget is different from the other Managers.
The new promotion inherits the group default at the time of promotion, but if you had previously set an individual budget for that person, the individual setting can persist and override the group default. Open their profile, Moola tab, and check Adjust Budget. If an override is set, clear it or align it with the group.
The Unlimited box is ticked but a leader still seems capped.
Unlimited applies at the permission-group level. If an individual override is set on that leader's profile (for example, 100 Moola weekly), the individual setting wins over the group Unlimited. Clear the individual override to fall back on the group's Unlimited setting.
The store added a new permission level and I do not see a budget field for it.
New permission levels added outside the default six-to-eight CFA levels may not appear in the default budget list immediately. Submit a support ticket to have the budget list extended to cover the new level.

Still stuck
If budget changes are not saving, fields are grayed out despite confirmed permission, or leaders are reporting caps inconsistent with what the budget page shows, submit a support ticket and include your store number, the permission level or specific team member involved, a screenshot of the Budget section or the individual profile, and the expected vs actual behavior.
